1. Introduction

Snehadeep CNC Pvt Ltd ("we", "us", or "our") operates the Snehdeep ERP mobile application and web platform (collectively, the "Service"). This Privacy Policy explains how we collect, use, disclose, and protect information about you when you use our Service.

By using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree, please discontinue use of the Service.

2. Information We Collect

2.1 Account & Profile Information

  • Full name and email address (required for account creation)
  • Mobile phone number (optional, for WhatsApp notifications)
  • Job title and role within your organisation
  • Organisation name, address, and GST number (for invoicing features)

2.2 Usage & Activity Data

  • Actions performed within the app (e.g., work orders created, inspections completed)
  • Feature usage patterns used to improve the product
  • Timestamps and audit logs for compliance purposes

2.3 Device & Technical Information

  • Device model, operating system version, and unique device identifiers
  • App version and crash/error reports
  • IP address and approximate geographic location (country/city level)
  • Push notification tokens (if you enable notifications)

2.4 Business Data You Enter

The Service is designed for manufacturing businesses. Data you enter — including production orders, part drawings, customer records, quality inspection results, and inventory — is stored securely and treated as confidential business information.

3. How We Use Your Information

We use the collected information to:

  • Provide, operate, and maintain the Service
  • Create and manage your account and your organisation's workspace
  • Send transactional notifications (job updates, quality alerts, shift reminders)
  • Provide customer support and respond to inquiries
  • Monitor and analyse usage to improve performance and features
  • Detect, prevent, and address technical issues and security threats
  • Comply with legal obligations including Indian tax and accounting regulations
  • Generate anonymised, aggregated analytics (no personally identifiable information)

We do not use your data to serve third-party advertisements.

4. Data Sharing & Disclosure

We do not sell your personal data. We may share data only in the following circumstances:

4.1 Within Your Organisation

Users within the same organisation workspace can see data relevant to their role as configured by the organisation administrator. Row-Level Security enforces this at the database level.

4.2 Service Providers

We engage trusted third-party processors who act on our behalf:

  • Supabase – database hosting and authentication (servers in ap-southeast-1)
  • Sentry – crash reporting and error monitoring
  • Axiom – structured application logging
  • Google Firebase – push notifications (Android)

All processors are contractually bound to process data only on our instructions and maintain appropriate security measures.

4.3 Legal Requirements

We may disclose information if required by law, regulation, or valid legal process (e.g., court order), or to protect the rights, property, or safety of Snehadeep CNC Pvt Ltd, our users, or the public.

4.4 Business Transfers

In the event of a merger, acquisition, or sale of assets, your information may be transferred. We will notify you via email and/or a prominent notice within the Service before any such transfer takes place.

5. Data Retention

We retain your personal data for as long as your account is active or as needed to provide the Service. Business transaction records (invoices, work orders, quality records) are retained for a minimum of 7 years to comply with Indian accounting and GST regulations.

When you delete your account, personal profile data is deleted within 30 days. Anonymised aggregate analytics and legally required business records are retained as required by law.

6. Data Security

We implement industry-standard security measures including:

  • TLS encryption for all data in transit
  • AES-256 encryption for data at rest
  • Role-Based Access Control (RBAC) and Row-Level Security (RLS) at the database level
  • Multi-factor authentication support
  • Regular security audits and dependency vulnerability scanning

No method of transmission over the internet or electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your data, we cannot guarantee absolute security.

7. Your Rights

Depending on your jurisdiction, you may have the following rights regarding your personal data:

  • Access – Request a copy of the personal data we hold about you
  • Correction – Request correction of inaccurate or incomplete data
  • Deletion – Request deletion of your personal data ("right to be forgotten")
  • Portability – Request your data in a machine-readable format
  • Objection – Object to certain types of processing
  • Withdrawal of Consent – Withdraw consent where processing is based on consent

8. Children's Privacy

The Service is intended for business use by adults (18 years or older). We do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, please contact us immediately and we will delete it.

9. Push Notifications

The Android app may request permission to send push notifications for job updates, quality alerts, and shift reminders. You can disable notifications at any time through your device settings. Disabling notifications does not affect your ability to use the Service.

10. Permissions Used by the Android App

The Android application requests the following permissions:

  • INTERNET – Required to sync data with our servers
  • POST_NOTIFICATIONS – To send job and quality alert notifications (Android 13+, user-granted)
  • RECEIVE_BOOT_COMPLETED – To reschedule background sync after device restart
  • CAMERA – Optional, to scan barcodes or capture part photos (user-granted on demand)

We request only permissions necessary for core functionality. Optional permissions are requested at the time they are needed and can be denied without affecting core usage.

11. Third-Party Links

The Service may contain links to third-party websites (e.g., supplier portals, government e-way bill portals). We are not responsible for the privacy practices of those sites and encourage you to read their privacy policies.

12. International Data Transfers

Our servers are located in the Asia-Pacific (Singapore) region. By using the Service, you consent to your data being processed in Singapore. We ensure appropriate safeguards are in place for any transfers outside your country of residence.

13. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page and updating the effective date, and where appropriate, by sending an email notification. We encourage you to review this page periodically.
